It's no secret that I'm a fan of Gmail. And, the service just keeps getting better. Let's talk about their "Canned Responses" feature coupled with "Filters" for lead generation via special reports delivery. Though the allure of "special reports" has waned with the overuse of them by agents who don't really deliver a useful report, there is still value there.

Gmail Special Delivery - You can use a feature in Gmail that will deliver to your main address with a "+something" behind it in the address. In other words, if your gmail address is yourname@gmail.com, you can give someone the email address yourname+report1@gmail.com and it will get delivered to your main box. The advantage is to get it in with the special identifier after the "+" to file it away or do something special with it.

In this case, you'll want to create an identifier for each report you want to deliver. You can use the title or just the "report1, report2" idea. The point is to get the email delivered with a unique "To" address so that we can create a Filter to do something special with it. So, you're going to create an address at yourname+report1@gmail.com for a report about "Current Market Conditions."

Now we take that address and place it on our website or blog in various places. You will be using the "mailto:yourname+report1@gmail.com" hyperlink format. This HTML command pulls up the visitor's email client with this address in the To field. To do it even better, the HTML link would be "mailto:yourname+report1@gmail.com?subject=Send Me The Current Market Report." This will also place the subject for you.

The advantage of using this method is that you can use this link anytime it applies, and anywhere. If you're doing a post about the general market or related to home prices, you can place this link in the post with the anchor text "Click to receive up-to-date email of current market conditions." That becomes the link text. When the visitor clicks on it, their email opens ready to just click "Send."

The Report As A Canned Response - Now we create a Gmail with "Compose Mail." I haven't had good luck with images, so it's best to stick with just text. However, you can format the text, bolding, titles, and bullet points as you wish. In the top of the email template you'll see the "Canned Responses" link. Once the email is created, click on it and save it with a name as your canned response. In this case, you might name it "Current Market" just so you recognize it when there are many canned responses later.

The Filter to Send It - Now all you have to do is create a "Filter" to recognize emails coming in to the "+report1" address as the From address. You will find an option to "Reply With Canned Response" and you can select it. Now, every time an email arrives to that report special address, Gmail will automatically deliver the report to the requester, and you get their email address for your lead!

You can also have Gmail mark it with a star to get your attention so you can do whatever you do with new leads right away. Do as many reports as you like, creating a special delivery "+" address for each, and a filter to act on it for delivery. It's all automated, so it happens 24/7 without your involvement.
