Technology and the internet are changing the way we do business. It's a positive force. However, if you're a broker with agents all working on individual computers at home and the office, it's important to develop procedures to capture and archive all business and transaction related emails.

As there are many federal regulations that regulate our transactions through HUD, EPA and others, if we end up in court, a new federal law could be in play. Emails can be required to be turned over in pretrial discovery. If you can't produce them, it could be a problem. Don't be accused of "virtual shredding" because you accidentally erased emails in a backup or can't produce emails that your agents received on an online email account.

There are some relatively easy and very inexpensive ways to get control of all those emails and place them in electronic transaction files for permanent archiving and easy retrieval later.
